1. Data Controller and Processor Roles

1.1 Controller. Llewellyn Systems acts as the Data Controller for personal information collected directly from visitors to our websites, marketing contacts, and prospective customers.

1.2 Processor. When processing Customer Data on behalf of our sports organization customers, Llewellyn Systems acts as a Data Processor. Our customers remain the Data Controller for their athlete data and organizational information.

2. Information We Collect

2.1 Information You Provide. Account registration data (name, email, organization); billing and payment information; agent configuration settings; organizational preference selections.

2.2 Athlete and Performance Data. When you use our operations agents, we process performance metrics, scouting data, wellness indicators, and scheduling information. Sensitive athlete health data is handled with additional safeguards and access controls.

2.3 Automatically Collected Information. Device identifiers, IP addresses, browser type; usage data, feature interactions, and performance metrics; cookies and similar tracking technologies.

3. AI and Machine Learning Disclosure

3.1 AI Agent Operations. ODE Sports employs 6 specialized AI operations agents (SCOUT, PLAYBOOK, TRAINER, ARENA, FANBASE, LEAGUE) that process data to provide operations management services. These agents use machine learning models to analyze performance data, generate strategic recommendations, monitor athlete wellness, and optimize operations.

3.2 Model Training. We do not use your organizational data, athlete records, or performance metrics to train our machine learning models. Aggregated, de-identified patterns may be used to improve detection accuracy and service quality.

4. Athlete Data Protection

We recognize the sensitive nature of athlete health and performance data. All such data is encrypted in transit (TLS 1.3) and at rest (AES-256), subject to role-based access controls, and processed in accordance with applicable health data protection regulations. TRAINER wellness data is treated with enhanced security controls.
